Identify the critical user journey we should covered from joining experience

ABOUT PROJECT

The team collected user feedback by satisfaction survey monthly. One of the statements kept showing in report is user always had problem in finding the meeting number or join meeting link.

As a team, I organized the design workshop to explore what we can do to enhance the user experience and working on the subject as a follow up with another design in my team.

DESIGN CHALLENGE

01. Technique limitation

The are some security barriers on this project which make it hard for us to moving forward with our proposal.

02. Infrastructure shifting

The final concept required a big change in product infrastructure and as a team, we work hard to make the strategy shifting.

WHY PERSONAL ROOM

The meeting number was one of the most important information for joining a WebEx meeting and be the only identification of meeting.

 

As an alternative solution, I run some experimental in improving the awareness of meeting list  in website, updating the meeting appointment email with big "join" button, all these experimental helps to weaken the necessary of remembering the meeting number, but that's did not really helped the user when they are trying to join a meeting from Cisco device.

To better understand how the meeting numbers work in WebEx system, I reached out to the professional engineer team with another designer and discuss the potential of using a permanent user alias instead of numeric meeting number for identification.

Several rounds of discussion, we were forced to the situation that  we couldn't get rid of the meeting number completely, but there might be something we can do to simplify the experience by adding one identification as the second arm, like the user alias.

ITERATION

The initial experimental proved a success because more people were start using the personal room meeting instead of normal meeting.

 

Stakeholders were on board this new meeting type. As a follow up, we iterated on the concept of creating a more customized " personal meeting room".

As a co-designer in this project, I mainly contributed on the initial of the personal room concept, working closely with the designer to explore more on customization and improve the experience of finding other's personal meeting room.

FEEDBACK

After the release of new person room, we got almost 15% increase of starting a meeting in Personal Room instead of regular meeting in 2016.
